Assists the Director of Spa with establishing priorities and accomplishing a variety of tasks
Responsible for the day-to-day administration of the spa and salon office. Maintains the spa and salon office organized & clean
Reviews, answers, and routes, as appropriate, all incoming mail/calls (voice, paper, and electronic)
Maintains, prepares and submits master appointment schedules, calendar of activities, forecast, and monthly reports
Maintains files and databases with historical/present data related to the department
Schedules services for individuals and large groups using spa/salon reservations software system
Calls guests to confirm scheduled services and answers questions about available services
Updates the reservations/cancellations list throughout the day, informs providers of last-minute changes, and resolves scheduling issues as needed by working with supervisor/manager
Checks in guests for appointments, confirms first and last name, and provides general spa orientation to guests upon arrival, including tours of facilities
Promotes and sells spa/salon services and retail products
Obtains assigned bank and ensures accuracy of contracted monies, obtains change required for expected business level, and always keeps bank secure
Processes guest payments for spa/salon services, obtains payment authorization as needed, and posts miscellaneous charges in the system
Accepts and logs cash tips for employees
Balances, scans, and drops receipts with accounting
Ensure that VIP requirements and special requests are executed prior to guest arrival
Orders all VIP amenities
Responds to all guest requests while on property
Notifies Engineering of maintenance and repair needs
Deliver amenities and any documentation that should be distributed within the spa or hotel
Be in contact with group leaders and guests that may require assistance during the planning and execution of their programs; perform other duties, from time to time, deemed necessary
Qualifications
Possess 1-2 years’ experience in hotel spa.
Excellent customer service skills, organized, multi-tasker
Experience in Spa/Wellness, Conference Services, or Front Desk in a hotel/resort environment
Accurate and thorough ability to communicate with others both verbally and in writing
Able to adapt well to many different situations
Computer experience with Windows, spa reservations software, Microsoft Office, and Outlook
A team player
Hourly rate is $7.50 per hours plus a share of the gratuity pool
